Find a Better Way With Systems in Your Business

If you find yourself doing everything in your business, you need to find a better way…if you find your team losing on sales because they just don’t know what to say to potential customers, you need to find a better way…when you have to answer a litany of questions from your team because they don’t already know the answer for themselves, you have to find a better way…and in every circumstance the better way is through systems.

What systems do you already use in your business?

You probably have some system set up for payroll, to plot time off for your team, maybe even to track your inventory, but do you have systems that make your company run smoothly, systems that ensure that if you took some time out of your business it would run smoothly?

You must systemize the routine in your business. That means that everything that you expect to happen in your business should be prepared for ahead of time. That means all sales should be scripted, all phone calls should be scripted, almost every area in which there is interaction with a customer should be scripted. Don’t leave anything to chance…

So how do you create systems in your business? Start by creating a detailed list of everything your team members do when they are at work, then compare that with their job descriptions and Key Performance Indicators (KPIs).

Now compare what is actually done with the KPIs. This should give you real insight into what is getting done and why certain things aren’t and once you understand that, you can figure out what steps can be put into place to correct the discrepancies.

Use these tips to get started…
1) Start with work flow descriptions
2) Use bullet points and concise headings
3) Start with the first or most important or regular task
4)Itemize each action that is needed to handle or complete each function and write briefly what needs to be done.
5) Mention what the desired outcome is and what happens next
6) Don’t forget to mention what happens if things go wrong or if another action is called for
